Job Description:
Greet and assist visitors, patients, and clients in a professional, courteous, and friendly manner.
Answer phone calls, respond to emails, and manage appointment scheduling efficiently.
Maintain the reception area, ensuring cleanliness, organization, and a welcoming environment.
Coordinate with staff, departments, and management to ensure smooth workflow and effective communication.
Handle inquiries, provide accurate information, and resolve minor issues promptly.
Maintain and organize records, patient/client files, and essential administrative documentation.
Manage check-ins and check-outs, ensuring proper verification and documentation.
Assist with internal and external correspondence, memos, and notifications.
Support event scheduling, meetings, and room bookings when required.
Maintain office supplies, inventory, and order replenishments as needed.
Uphold confidentiality and follow organizational policies in handling sensitive information.
Provide general administrative support to ensure efficient day-to-day operations.
Specification:
Minimum education: High School / Intermediate; Diploma or Bachelor’s preferred.
Strong communication and interpersonal skills.
Good organizational skills and attention to detail.
Basic computer skills (MS Office, email, appointment software).
Professional appearance and demeanor.
Ability to handle multiple tasks and work in a fast-paced environment.
Friendly, patient, and empathetic with visitors and clients.
